How do I save and update a custom Space?

Below is a review of the functionality shown on the new Stories page. If seeking information regarding the legacy Stories page, see the section at the bottom of this documentation or reach out to us at support@shortcut.com.

 

Personal and Shared Spaces

To save changes to a Space, click the drop-down in your active Space Tab. In this drop-down you will have access to options to save or discard your changes. Saved changes to Shared Spaces will be published to all users in your workspace. You'll see the Space Owner in the drop-down menu. 

Note: If you are a Member, you can only edit spaces that you have created.

Select "Edit" to share or re-name your Space. When you Create a new Space, or "Save As," you can set the Space name and privacy (personal or shared).

Team-Scoped Spaces

When you create and edit Spaces on Team-Scoped Stories Pages, those Spaces are accessible from that Stories Page. When you save changes to Shared Spaces on the Stories Page, anyone can view that Space on that Team-Scoped Stories Page

 

Workflows

Now, you can save a workflow to the Space. Once saved, anyone who views that Space (if it is shared) will see that Space with the workflow selected. This can be done for pre-made Spaces from Shortcut (only admins can save changes to pre-made Spaces).

  • If you would like to create a filtered view that you know you will want to use again, you can save it as a new Space in a couple of ways:

    1. Select the + symbol next to Spaces to create a new Space

    2. Type the name of the new Space and select the check mark to confirm.

    3. Adjust the preferred filters.

    4. Select "Save Changes" next to the Space name

    1. Select a Shortcut defined Space, such as "Everything"

    2. Adjust the preferred filters.

    3. Select the "Save as New Space" option next to the Space name.

    4. Type the Space name and select the Checkmark symbol or "Enter" on your keyboard.

    You can update, rename, share, hide (only hidden on your Shortcut, not globally), delete or re-save a Space by hovering over the name and selecting your action (press the ellipsis for more actions).

    You can also press the ellipsis icon to view the name of a Space if it has been cut-off in the regular display. 

     

    To update a Space's filters, choose the Space you'd like to modify, and make any changes to the filtering that you want.

    You'll see that it'll deselect the Space and highlight 'Unsaved Space' -- don't worry about that.

    Instead, hover over the Space you're making the change to, and then click on the 'Save' button in the pop up menu. You should see an alert confirming that the Space was updated in the lower right corner of your browser:

     

     

    If you make edits to or save a Space you did not mean to alter or create, you can undo your actions by clicking "Undo" on the success message that briefly appears in the bottom right-hand corner when changes to the Space are saved.
